Job Title: Finance and Administrative Assistant Manager

Job Description: Tahawus Trails is a full-service trail design, construction, and consulting company that has been operating in New York State and the northeast for 18 years. At Tahawus Trails, our success depends on our people, procedures, and productivity. A finance and administrative assistant is a supportive force driving each of these areas, and we’re currently seeking someone stellar to join our team. This position is part-time, 16 hours per week, in person, with future hybrid option. Our office is in Kingston, N.Y. Benefits include paid time off, training stipend and wellness stipend.

Objectives of this Role:

  • Assist with management of the administrative tasks, oversee operational efficiency, effective communication, and strategic planning.

  • Assist with accounts payable and receivable, payroll, bookkeeping, and facilitation of a variety administrative functions and services.

  • Act as liaison between the partners, administrative team-members, and all employees, providing information, answering questions, and responding to requests.

  • Oversee and achieve organizational goals while maintaining an efficient, productive, and positively cultured office and staff experience.

Daily and Monthly Responsibilities:

  • Weekly payroll

  • Weekly retirement account contributions

  • Contract reports

  • Bookkeeping

  • Accounts payable

  • Accounts receivable

  • Perform a variety of administrative duties, such as generating and distributing reports, spreadsheets, insurance documents; sorting and distributing incoming mail, and records management.

  • Maintain information databases and assist in providing other internal documents as requested.

  • Assist with employee onboarding and human resources.

  • Assist colleagues whenever there is an opportunity to do so.

Skills and qualifications:

  • College degree in business, finance, or accounting, OR 4 years minimum experience in bookkeeping, financial management and business administration.

  • Superb written and verbal communication skills.

  • Strong time-management skills; ability to prioritize.

  • Proficient in Microsoft Office (or similar), QuickBooks accounting software, with aptitude to learn new software and systems.

  • Proficient in Microsoft Office Suite, Google Suites (Google Sheets) along with data entry.

  • Solid interpersonal skills.

  • Previous success in financial and administrative work.

  • Experience managing budgets and expenses.

  • Experience developing internal processes and filing systems.

  • Comfortable handling confidential information.

  • Ability to adapt to changing situations in a calm and professional manner..

  • Experience in the field of trail building/construction/landscaping, and especially with prevailing wage contracts, is a plus.

  • Experience with 401k plan administration is helpful but not required

Compensation: $30-$40 per hour, paid time off, training stipend, wellness stipend

Job Title: Trail Crew Member, Adirondacks

Job Description: Tahawus Trails is a full-service trail design, construction, and consulting company based in New York State looking for motivated, hard-working professionals to join our crew of experienced trail builders in the North Country and Adirondacks.

Position responsibilities: The trail crew member will work both independently and as part of a team to perform a wide range of trail construction tasks on a variety of trail projects. They will be required to safely use hand tools, power tools, and mechanized equipment to complete projects including (but not limited to) sidehill benching, trail corridor clearing, retaining walls, stone staircases, bridges, carpentry projects, etc. The position will require the trail crew member to work outdoors in all weather conditions, in varied and steep terrain, carrying and moving heavy objects of 50 pounds or more. Duties may include (but are not limited to): digging, cutting trees and brush, constructing trail structures using dimensional and rough-cut lumber, rock work with native or imported stone, landscaping, spreading crushed stone, etc. The trail crew member will need to follow instructions as they relate to their assigned task, as well as the larger scope of the project. They will also maintain and repair tools, occasionally lead crews, and perform other duties as assigned.

Required Experience:

  • Experience in one or more of the following or related fields: Trail Building, Dry Stone Masonry, Carpentry, Landscaping, or any other construction field.

  • Performance of physical labor outdoors in varying weather conditions for extended periods of time, as well as lifting and carrying heavy objects over rugged terrain.

  • Basic First Aid and CPR-AED certification.

  • Attention to detail and quality craftsmanship.

  • Safety oriented.

  • Must be able to travel for work, including occasional camping at work locations.

  • Ability to maintain a positive attitude and the willingness to learn.

  • -Ability to work both independently and as part of a team

Preferred Experience:

  • Experience with trail related tools including: Shovels, Picks, Rock Bars, McLeod’s, Chainsaws, Cross-cut Saws, Axes, Wood and Rock Drills, and Generators.

  • Experience with leading trail construction crews and managing project logistics.

  • Machine and equipment operation and maintenance, including Excavators, Skid Steers, Crawler Carriers, Brush Cutters, etc.

  • Experience working with winches, rigging and high-lines.

  • Experience with MS Office, QGIS, ArcMap and Sketchup.

  • Ability to take initiative to complete necessary tasks.

  • An avid trail user, hiking and mountain biking.

  • Familiar with Leave No Trace principles.

  • Wilderness First Aid and CPR-AED Certifications.

Job Start Date: April 2024 (will consider alternate start dates)

Compensation: $22 minimum base rate, more based on experience. Up to $75 per hour for NYS Prevailing Wage work based on work location and work classification. Estimated mean hourly compensation $40 to $55/ hr. Paid Time off; 401K; profit-sharing.
